From CAD to Photoreal: What Developers Should Send for a Faster Quote

A quote is only as good as the files behind it

Developers sometimes send a mid-rise exterior brief with camera preferences and a Zip of flattened PDFs—no CAD, no finish schedule. We can still price a range, but the range stays wide because every missing detail becomes an assumption, and assumptions turn into revision fees later.

After sixteen years running The Render Café, our rule is simple: the bottleneck on a fast quote is rarely the render farm. It is whether we can open your model, read the materials, and know what “done” looks like before we put a number on paper.

A hypothetical brief

Say you need four exterior stills for a hypothetical 120-unit multifamily—day hero, dusk, courtyard, and street context—for a lender packet in three weeks. The architect has Revit. Marketing wants golden-hour drama. The GC keeps changing the parapet screening.

If you upload the Revit export (or a clean FBX/OBJ from it), a sheet of finish callouts, site context photos or GIS, and two reference images for mood, we can usually return a line-item quote the same day. If you only send marketing wish-list notes, we quote a cushion for rebuild time.

What we need to price accurately

Send this package when you can:

• CAD or BIM: Revit, SketchUp, Rhino, AutoCAD 3D, or FBX/OBJ with correct scale in feet or meters.• Floor plans and elevations as PDF if the 3D is rough—so we can catch missing balconies or wrong window mullions.• Finish notes: cladding, glass tint, railing type, roof color. A one-page schedule beats a 40-page brand PDF.• Camera intent: site photos with arrows, or a short list like “entry drive + amenity terrace.”• Deadline and use: board hearing, pre-sales brochure, or internal option study—those change resolution and polish.

The mistake we see every week

Teams send a beautiful SketchUp massing with no layers, furniture randomly scaled, and materials named “Material 47.” Then they ask why the quote includes modeling hours. Rebuilding a dirty file can take as long as modeling from plans.

Our advice: spend thirty minutes naming layers and deleting junk geometry before you upload. That half hour often saves a day on our side and keeps your fixed fee from ballooning into change orders.

What actually moves price and turnaround

Price goes up when we must rebuild from 2D only, invent landscape without a plan, or produce many unique cameras on a complex facade. Price stays tighter when CAD is clean, finishes are listed, and cameras are locked.

Turnaround works the same way. A complete brief can often begin the next business day. A brief that needs three emails to clarify glass type and neighbor context will wait until those answers land—rush fees cover overtime, not missing drawings.
